Superior tenant selection

It all starts here. Our job is to find the best possible tenant for your property in the quickest possible time; careful tenant selection is crucial for the successful management of your property. We are well known for our screening process as we believe this is one of the most important aspects of a successful tenancy.

We have a very strict and thorough system for the selection of tenants. Commencing with comprehensive and detailed application forms, we screen all tenants via the Tenancy Information Centre of Australia (TICA), speak with previous and current landlords, conduct verification of the applicants’ employment details and do a thorough check of references which includes speaking to the personal references for each applicant. Once we have conducted the necessary checks and believe the application is ready to present to you, we will make recommendations of who we believe to be the most suitable tenant for your property. We will not recommend tenants that we do not believe are going to be a suitable tenant who will look after your property. Of course, you will always have the final say about who leases your property.

Our property management experts are led by company Principal and Founder Ron Morrison, who has been involved in Property Management for over 45 years and personally oversees this department. With our team holding tertiary qualifications in property, valuations, marketing and real estate this means you are represented by a highly trained and skilled team. To ensure we are up-to-date with the latest industry, legal and market developments, we regularly attend professional development and training seminars with the country’s best agents which ensures we are at the cutting-edge of property management.

While you will have your own dedicated Property Manager, we are a team operating in an open plan office environment with over 100 years’ combined experience. With a sole purpose to ensure your investment property is being efficiently managed. Our weekly Property Management meeting agenda includes rental vacancies, arrears, routine inspections, rental reviews, and maintenance so our entire property management team is familiar with your property, so everyone is up to date to cover holidays and personal leave.

Delivering more

Document Preparation
We handle all the necessary paperwork and pre-rental logistics to ensure new tenants make a smooth transition into your property. We prepare professional lease documents along with our own special clauses for your protection. Prior to the lease expiring (usually a six or 12 month term), we make contact with you to discuss whether a new lease is negotiated or continued on a month-to month tenancy.

Know exactly what’s happening with your investment portfolio in real time with our easy to navigate online landlord portal. You can login from anywhere in the world at a time that’s convenient for you to view property details, track financial activity, see reported maintenance, drill into inspection reports, download documents and much more. With every rental transfer to your account you will receive a detailed income statement along with copies of any invoice we have paid on your behalf. We also prepare end of financial year statements to assist at tax time.

Repairs and Maintenance
We listen to how you would like us to manage your property and arrange maintenance accordingly. If the repair is classed as urgent then action must be taken immediately to the limit as required by law. Should such a situation arise we will make all reasonable attempts to contact you – remembering our office is open 7 days a week. We have a large pool of highly skilled and fully licensed, reliable tradespeople who can get the job done and at the right price. Alternatively we are happy to use your tradespeople contacts if you prefer.

Accounts and Outgoings

To save you time and inconvenience, you can arrange for our office to pay outgoings on your behalf from your rental income. Such examples include City of Ballarat rates, Central Highlands Water, Owners Corporation fees, insurance premiums and any other property related charges.

Arrears – Zero Tolerance
On time payment processes start with tenant selection. In the unlikely situation that a tenant’s rent is late, we know about it the same day as part of our daily arrears management system. Prompt action then follows in accordance with the legislation keeping you informed throughout the process. We will endeavour to seek your instructions once a tenant is 14 days in arrears. It is at this time a Notice to Vacate can be issued. Our process for selecting tenants helps eliminate possible issues with late payments.

Routine Inspections – Smartphones and Tablets
Our routine inspections are carried out approximately three months into each new tenancy and then every six months thereafter to ensure that the property is being maintained in optimum condition. Advances in technology continually enhance our business and we realise the importance of keeping up to date with systems that will improve service to our clients. Our property managers are equipped with state-of-the-art inspection software, utilising tablets and smartphones so you receive written reports and photographs and can see with your own eyes the condition of your valued investment.

Legislation and Risk Management
Managing residential property requires expert knowledge of all relevant legislation to protect you and your investment. In those rare disputes, we are well trained to act between you and the tenant – remembering we are on your side. Our aim is to focus on the prevention of such disputes with effective management and regular contact. As your managing agent, we are able to represent you at Victorian Civil and Administrative Tribunals if required. We offer our landlords the option of annual smoke alarms servicing, gas and electrical checks and engage a specialist company that is the only preferred firm by the REIV to undertake such testing. In addition should your property have gas heating we can engage for carbon monoxide testing. We were one of the first agents in the region to offer this service to ensure the full protection of your property and its occupants.
